1. Reservations list
The home portal of this tab gives you access to the list of reservations made on your system and allows you to perform a search. This module enables you to filter reservations according to various data (subscriber, station, period, vehicle, reservation status, etc.).
Once the fields have been completed, you can view the particular information of each one: user, reservation code, start and end date, station, cost, plan and any additional data pertaining to the reservation type. For further details, you can access the reservation sheet by clicking the icon .
Tip
When any user makes a reservation on your platform, they will receive a confirmation e-mail with the reference and all the information they will need to facilitate their journey (timetables, car park route, etc.).
They will also be able either to modify or delete their journey: in this case, you will be sent a notification about the change to reservation status.
1.1 Reservation form
Each reservation form provides you with all the information about the reservation: start and end dates and times, subscriber and vehicle in question, events reported during the reservation, etc. You can access it by clicking the Modify icon from the Vehicle list page.

This first boxed text will display all the general information about the selected reservation.
– Creation and update dates
– Information related to the subscriber that has made the reservation, the corresponding contract, the formula, vehicle and car park in question.
– The reservation start and end dates and times
– The reservation status (see iconography below)
– The reservation code which serves as a unique identifier
– The estimated cost of the trip (for instance, in the event of a trip as part of a personal contract)
– Subscriber information (telephone number and e-mail address)
– Car park manager information (name, telephone, e-mail)
If necessary, you can change the reservation slot directly on this sheet. To this end, choose a new date/time and then click on availability to check whether the vehicle is able to be reserved during this time slot.
If this reservation is concerned by a maintenance operation, the relevant information will also be displayed in this section (designation, description, total time of vehicle unavailability, etc.).
Communication

The Communication boxed text contains all exchanges between the system and user making the reservation. This ranges from the reservation request of the subscriber to the e-mails about the effective reservation end, not to mention the push and SMS notifications.
Events

Events relate to any feedback provided by subscribers in the context of the reservation via a hotline. That may cover various areas such as the reservation itself or the vehicle condition or even a technical problem when possession of the car is taken.
Namely: In the event of unforeseen circumstances, you can also switch this reservation to another vehicle in order to guarantee the mobility needs of your employee! With that in mind, you simply have to click on the “Switch” button located on the top right of the page: you will be given access to the timetables of available vehicles for the same time slot.

2. Reservations management
2.1 Creating a new reservation
This page enables you to create a new reservation either for yourself or for one of your users.
You must specify several criteria:
• The person
• The formula
• The type of reservation
• The start day & time
• The return day & time
• The city
• The car park
• The type of vehicle
When you click Search, you access the timetable of the vehicle between the indicated dates. After making your choice, click on Reserve: you will then be sent a confirmation message containing all the information about your reservation. You may choose either Confirm, to validate the reservation, or Cancel. You can also leave a comment to explain to the subscriber the reason for the reservation in their name.
2.2 Extending a reservation
In unforeseen circumstances or following a request by any of your subscribers, you may extend a reservation under way directly from the e-Colibri™ management platform. All you have to do is to select the reservation in question.
A summary will be displayed, giving you the option to change the date and time marking the end of use of the vehicle. A timeline particular to the vehicle is also displayed to give you an overview of the available time slots. If the vehicle is unavailable during the new time slot, you can still switchthe reservation to another vehicle from the reservation sheet.
3. Stations map
If your fleet of shared vehicles is located at different sites, the station map may be a valuable tool to check the status of each of these car parks.
For each pinned site, an information bubble indicates the number of vehicles, the number of subscribers that use this car park, the rate of actual use and the saturation rate.
